1. Introduction
TIMA Agency LLC(“TIMA”, “we”, “us”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use TIMA Connect (“the Platform”).
2. Information We Collect
2.1 Information You Provide
- Account information: Name, email address, password, organization details
- Profile information: Role, timezone, currency preferences, profile photo
- Campaign data: Campaign briefs, media plans, budgets, objectives, and target markets
- Documents: Files you upload including creative assets, contracts, and compliance documents
- Communications:Messages sent through the Platform's messaging features
- Financial information: Invoice details, payment records, and payout information
2.2 Information Collected Automatically
- Usage data: Pages visited, features used, actions performed, and timestamps
- Device information: Browser type, operating system, screen resolution
- Log data: IP address, access times, and referring URLs
2.3 Google, Apple and YouTube Sign-In
When you choose an available social sign-in option, we receive your provider account identifier, verified email address and name, where provided, to create or identify your TIMA account and sign you in. Apple may provide a private relay email address if you choose Hide My Email. We do not receive your Google or Apple password.
Continue with YouTube uses Google authorization and YouTube API Services. With your consent, it requests read-only YouTube access to check whether your selected account has a YouTube channel. This sign-in flow reads channel identifiers for that check; it does not store them or read video content, upload, edit or delete videos. It does not request offline access or store YouTube access or refresh tokens. Your Google account identifier, rather than a channel identifier, links your TIMA account.
We use these sign-in details for authentication, account linking and your TIMA account profile. They are processed by our hosting providers to operate those features. YouTube channel data obtained by this sign-in flow is not shared with campaign collaborators, sold, used for advertising or used to train AI models. TIMA's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.
You can revoke TIMA's Google or YouTube access through your Google Account permissions. Revoking provider access does not by itself delete your TIMA account. Account identifiers and profile details are retained under section 6; to request deletion, contact support@tima.agency. Google's own handling of your information is described in the Google Privacy Policy.
2.4 Optional YouTube Channel Connections
Connecting a YouTube channel is separate from signing in to TIMA. This feature is being prepared for release and is currently limited to invited review users. You can continue to enter channel details manually. Connecting does not approve a publisher application.
With your permission, this feature uses YouTube API Services to read your selected channel's identifier, name, subscriber count, recent video titles, identifiers, publication dates and statistics. It also reads available YouTube Analytics reports, including views, watch time, engagement, subscriber changes, daily trends, countries, age and gender groups, traffic sources and audience retention. Some reports may be unavailable or incomplete. We do not request permission to upload, edit or delete videos, or to read YouTube revenue reports.
We store the selected channel details, encrypted access and refresh tokens, and the latest retrieved analytics to operate this connection. Refresh tokens allow TIMA to retrieve permitted data without asking you to sign in each time. These reports are displayed to authorised members of your publisher workspace. The initial release does not automatically share these private reports with advertisers or use them to train AI models, serve personalised ads, or generate images or videos. Our hosting providers process this information to operate TIMA; we do not sell it.
You can disconnect from the channel connection controls in TIMA or revoke access in your Google Account permissions, linked above. Disconnecting in TIMA removes the saved tokens and cached analytics and attempts to revoke Google access. Other TIMA connections sharing the same Google authorisation may also be disconnected. The manually entered channel, inventory and commercial records remain. Connections made during signup expire if the application is rejected, expires, or remains untransferred for 30 days. Contact support@tima.agency to request deletion of retained connection details or other account data. Revocation does not delete your TIMA account.
The Google API Services User Data Policy, including its Limited Use requirements, also applies to this connection. Google's own data handling is described in the Google Privacy Policy linked above.
3. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Platform
- Process campaign management, inventory booking, and financial transactions
- Generate AI-powered media plans and recommendations
- Send notifications about campaign activities, approvals, and deliverables
- Enforce permissions, roles, and access controls
- Detect and prevent fraud, abuse, and security incidents
- Improve the Platform through analytics and user feedback
- Communicate with you about your account and our services
4. How We Share Your Information
We may share your information with:
- Organization members: Other members of your organization(s) can see your name, role, and activity within shared campaigns
- Campaign collaborators: Users invited to campaigns can see relevant campaign data based on their assigned permissions
- Publishers: Publishers participating in your campaigns receive necessary booking and deliverable information
- Service providers: Third-party services that help us operate the Platform (hosting, email, storage, analytics)
- Legal requirements: When required by law, regulation, or legal process
We do not sell your personal information to third parties.
5. Data Storage and Security
Your data is stored on secure servers with encryption at rest and in transit. We implement industry-standard security measures including access controls, audit logging, and regular security assessments. Documents are stored using encrypted cloud storage with access restricted to authorized users.
6. Data Retention
We retain your information for as long as your account is active or as needed to provide services. Campaign data is retained for the duration of the campaign plus a reasonable period for reporting and compliance purposes. You may request deletion of your personal data at any time, subject to our legal obligations.
7. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access: Request a copy of the personal data we hold about you
- Rectification: Request correction of inaccurate personal data
- Erasure: Request deletion of your personal data
- Portability: Request a machine-readable copy of your data
- Objection: Object to processing of your personal data
- Restriction: Request restriction of processing

8. Cookies and Tracking
The Platform uses essential cookies and local storage for authentication and user preferences. We do not use third-party advertising trackers. Analytics data is collected in aggregate form to improve the Platform.
9. International Data Transfers
Your information may be transferred to and processed in countries other than your own. We ensure appropriate safeguards are in place for such transfers in compliance with applicable data protection laws.
10. Children's Privacy
The Platform is not intended for use by individuals under 18 years of age. We do not knowingly collect personal information from children.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on the Platform and updating the “Last updated” date. Your continued use of the Platform after changes constitutes acceptance of the updated policy.
